What Managed IT Costs
in Australia

Managed IT is commonly priced per user, per month, and the ranges are wide because plans cover very different amounts of work. Here is how providers build a price, what gets billed on top, and what we charge.

Pricing models

How managed IT providers set their prices

Managed service providers (MSPs) usually charge a monthly fee, but they don’t all count the same thing.

Per-user pricing is common for small and medium businesses, because staff now work across a laptop, a phone and cloud apps. Add a person, add one fee. Many providers also offer tiers: choose a level of service, then pay per user. Whichever model you are quoted, compare what it covers, not just the headline number.

Common for SMBs

Per user

One fee per staff member, covering their devices, accounts and support.

Shared machines

Per device

A fee per computer or device. Suits shared workstations, harder to track as devices multiply.

Choose a level

Tiered plans

Security only or full support. Pick the level, then pay per user.

Pay as you go

Hourly or block hours

Pay for time as you use it. Nobody watches your systems between calls.

Cost drivers

What pushes the price up or down

Two businesses with the same headcount can get quite different quotes. These are the factors a good provider weighs first.

Driver

Number of users

Price scales with headcount. Fixed costs are shared across fewer people in a small team, so very small businesses can sit higher in a range.

Driver

Devices and servers

Laptops and phones are usually covered per user. On-site servers, firewalls and specialist equipment add more to patch, monitor and back up.

Driver

Number of sites

Each office brings its own internet, network and equipment, plus travel. Multi-site businesses usually sit at the top of a range.

Driver

Security and compliance

Insurer questionnaires, client requirements, SMB1001 certification or health privacy obligations mean more controls and more evidence to keep current.

Driver

Support expectations

Unlimited helpdesk support costs more than security-only cover with support billed as you use it. After-hours cover adds again.

Driver

Onsite needs

Remote support keeps costs down. Regular onsite visits, or sites outside a provider’s area, add travel or a local partner.

Inclusions

What's included, and what's billed extra

A managed IT fee normally covers the ongoing work of keeping your systems running and secure. One-off work and the things you buy are usually separate.

Licences are a separate line

Microsoft 365 and Google Workspace licences are charged per user on top of the support fee, and the vendors set their own prices. See Microsoft’s Australian pricing page and Google Workspace’s Australian pricing page. We quote current licence pricing with every recommendation.

  • Helpdesk support for your team
  • Monitoring, patching and updates
  • Security tools on every device
  • Backup monitoring
  • Microsoft 365 or Google Workspace management
  • Regular reporting and IT planning
Usually billed separately

Ask about these up front

  • Projects such as migrations, new offices and upgrades
  • Hardware such as laptops, servers and firewalls
  • Software and cloud licences
  • Onsite visits outside the service area
  • After-hours work, depending on the plan

Managed IT vs break-fix vs an in-house hire

The three common ways to get IT help, and what each costs.

Option
How it works
Typical cost
Break-fix (ad hoc)

You pay for time when something breaks. Low fixed cost, but nobody patches, monitors or checks backups in between.

$130 to $260 an hour
In-house IT person

Someone on your payroll who knows your business. They need cover for leave and ongoing training, and one person rarely covers support, security and cloud equally well.

$85,000 to $100,000 a year before super, leave and training
Managed IT

A provider monitors, maintains and secures your systems for a monthly fee, with a team behind the helpdesk. Costs move with your headcount.

Questions to ask any provider

The monthly fee is only part of the cost. Get these answers in writing.

01

Is there a lock-in contract?

A fixed term makes it costly to leave if the service slips. Ask about notice periods and exit fees. Ours is month to month.

02

Is there an onboarding or setup fee?

Onboarding takes real work. Some providers charge for it up front, others build it in. Get the figure before comparing monthly prices.

03

What does "unlimited" actually cover?

Check whether it includes onsite visits, new staff setups and calls to your other suppliers, or only helpdesk tickets.

04

How is after-hours work charged?

Ask what counts as after hours, whether emergencies are covered and the rate outside the plan.

05

How are projects priced?

Migrations, new offices and upgrades sit outside monthly fees. Ask whether they are quoted up front or billed by the hour.

06

What happens if we leave?

You need your passwords, admin accounts and documentation handed over cleanly. Ask how offboarding works and what it costs.

07

Who does the work?

Ask whether support is handled in Australia or offshore. Our team is Australian-based.

FAQ

Managed IT costs: common questions

It depends on what the plan covers. At SEQ IT, Core IT Security is $125 to $155 per user per month with support billed as you use it, Fully Managed IT is $220 to $295, and Fully Managed IT for multi-site or regulated businesses is $295 to $350+.

On our Fully Managed IT plan, a 10-person business usually pays about $2,200 to $2,950 a month, plus Microsoft 365 or Google Workspace licences. We give you a fixed monthly price after assessing your setup.

Not always month to month. Break-fix typically costs $130 to $260 an hour, so a quiet month costs little. The difference is what happens between calls: managed IT includes monitoring, patching, security and backup checks, which reduce the risk of costly outages, and a monthly fee is easier to budget for.

For many small and medium businesses, yes. An in-house IT person costs $85,000 to $100,000 a year before super, leave and training, and one person cannot cover every skill or be available all year. Managed IT gives you a team for a monthly fee.

No. Licences are billed per user on top of the support fee, and Microsoft and Google set their own prices. As a Microsoft Partner and Cloud Solution Provider (CSP) and a Google Cloud Partner, we supply licences and quote current pricing with every recommendation.

Some do, with fixed terms and exit fees. SEQ IT works month to month with no lock-in contracts, and projects are quoted before work starts, so there are no surprise invoices.
