The email that redirects the deposit
Deposits, rent, bond refunds and landlord payments all move on the strength of an email. That makes an agency mailbox a prize for criminals.
A criminal steals an agent’s password with a fake login page, reads quietly for days, then sends “updated” bank details from the real account or a lookalike domain.
Queensland’s Agents Financial Administration Act 2014 sets strict rules for trust money, and trust accounts are audited. But an audit checks the ledger, not the email that redirected the money.
- A buyer receives new deposit account details by email
- A landlord’s hacked mailbox asks for payments to a new bank
- A hidden rule copies trust emails to an outsider
- A former agent can still open email and the CRM
Keeping trust money where it belongs
The right settings, watched every day, plus one firm rule about bank details.
Multi-factor authentication everywhere
Every mailbox, the CRM and trust accounting, using an authenticator app wherever the software allows it.
Sign-ins and mailbox rules watched
Sign-ins monitored, overseas logins blocked, and hidden forwarding rules found and removed.
Your domain protected
SPF, DKIM and DMARC make it much harder to fake email from your agency.
Trust access kept narrow
Only staff who handle trust money can open the trust accounting software, each with their own login.
A call-back rule for bank details
Any change is confirmed by phone on a number you already hold. Simulated phishing keeps your team practised.
How easy is your agency to impersonate?
We check the gaps attackers look for: who can sign in, from where, and whether your domain can be spoofed. Free, valued at $2,500.
IT that works from the car and the open home
Agents spend the day at appraisals, open homes and auctions, and property managers at routine inspections. They need email, the CRM and contracts on a phone, with one bar of signal.
Many agents are contractors on their own phones. With Microsoft Intune or the Google Workspace equivalent, agency data stays in managed apps, and personal devices stay personal.

Wipe the work, keep the photos
Agency email and files removed remotely. Personal apps untouched.
No delays at the front door
One tap in an authenticator app, so nobody is stuck with buyers waiting.
Ready for the first open home
Email, CRM access and a secured phone set up before day one.
Your listings stay with you
Email, CRM and shared files shut off the day they go.
Personal information you are trusted with
One rental application can hold a driver licence, passport, payslips and bank statements, often left in inboxes long after the lease is signed.
The Privacy Act 1988 and the Notifiable Data Breaches scheme apply to businesses over $3 million turnover, plus some specific cases. If clients want proof of your security, we can align you to the Essential Eight or take you through certification under SMB1001.

- Where application documents are stored, and who can open them
- Old ID copies in email and shared drives
- Who still has access to the CRM and trust accounting
- What you would need to report under the NDB scheme

Real estate IT: common questions
How do real estate agencies stop deposit and rent redirection fraud?
Make mailboxes hard to break into and bank detail changes hard to fake: multi-factor authentication, sign-in monitoring, blocked overseas logins, SPF, DKIM and DMARC on your domain, and a firm rule that bank detail changes are confirmed by phone on a known number.
Which property management and CRM systems do you support?
We support staff access to Console Cloud, PropertyMe, Rex, Agentbox, VaultRE and franchise-specific CRMs: logins, email and calendar links, and mobile setup. The vendor runs the platform, and we raise faults with them when the problem is on their side.
Can you secure agents who use their own phones?
Yes. Agency email, the CRM and files sit in managed apps protected by a PIN and multi-factor authentication. If the phone is lost or the agent leaves, we remove agency data remotely and leave personal photos and apps alone.
Does the Privacy Act apply to our agency?
It depends. The Privacy Act 1988 and the NDB scheme cover businesses with annual turnover over $3 million, plus some specific cases. Many smaller agencies fall outside it, but tenants still expect their ID to be protected. Check with your adviser; we put the controls in place either way.
We have several offices and belong to a franchise. Can you support all of them?
Yes. We bring every office onto one standard, put the franchisor’s mandated CRM, brand tools and security controls in place, and deal with their IT team directly. Offices outside South East Queensland are supported remotely, with visits arranged when needed.
How much does IT support cost for a real estate agency?
Managed IT typically costs $120 to $250 per user per month, so a 10-person office pays roughly $1,200 to $2,500 a month, with security, monitoring and mobile management built in. Terms are month to month, and projects like a new office are quoted first.
