Microsoft 365 or Google Workspace: which suits you?
Both are good platforms. The right one depends on how your team works.
Microsoft 365 usually suits you if
Your team lives in desktop Excel, Word and Outlook, you swap complex files with clients on Office, or your industry software plugs into Outlook or Windows. Business Premium adds strong security controls in one licence.
Google Workspace usually suits you if
Your team works mostly in the browser, edits the same documents at the same time, uses Chromebooks, Macs or Android, or wants simpler day-to-day admin. Gemini is built into the business plans.
Running both
Some businesses do, for example Google Workspace for most staff and a few Microsoft 365 licences for heavy Excel users. It works when it is planned, and we manage mixed setups too.

How we run a migration
Most small business migrations take one to two weeks from assessment to completion. Your team keeps working on the old system until cutover.
Assess
We review mailboxes, files, calendars, permissions, devices and DNS, and agree what moves and what gets archived.
Plan
A written plan covering user mapping, timing, DNS changes and a rollback option. You approve it before any data moves.
Pre-stage
We copy the bulk of your email and files in the background while your team keeps working on the old system.
Cut over and check
Usually over a weekend, we switch mail delivery, move the last changes, set up devices and check email, files and calendars are all there.
Settle in
Extra support for the first week or two, with the old system kept as a safety net until you are ready to close it.
What makes a migration go smoothly
Moving mailboxes is the easy part. These are the things that cause problems on Monday morning when nobody checks them.
Mail delivery and DNS
MX, SPF, DKIM and DMARC records changed at the right time, so email keeps arriving and your domain stays protected.
Shared mailboxes and calendars
Shared inboxes, room calendars and delegate access recreated, not just personal mailboxes.
Folder access
Who can open which folders and files mapped across, with over-shared folders tidied rather than copied as they are.
Devices and apps
Outlook, Gmail, phones and laptops pointed at the new platform, and sync checked on each device.
Business software
Apps that send email or connect to Outlook or Google, such as practice or accounting software, checked and reconnected.
Former staff mailboxes
Archived rather than deleted, so records you need to keep are still there after the move.
Licences
The right plan for each person from day one, so you are not paying for seats or features nobody uses.
The old system
Kept available for a while after cutover, then closed down and cancelled when you are ready.
Security set up before anyone signs in
A migration is the best time to fix security, because everything is being set up fresh. We apply the same baseline on either platform before your team starts using it, so the new system does not inherit the old gaps.
- Multi-factor authentication enforced on every account, admins included
- SPF, DKIM and DMARC, so your domain is much harder to spoof
- Spam, phishing and fake login page filtering on every mailbox
- External file sharing limited, so files do not leave by accident
- Separate admin accounts, so nobody does daily work as an administrator
- Laptops and phones managed, encrypted and wiped if lost
- Independent backup of email and files, with test restores

Supported on Monday morning, and after
The first day on a new platform is when questions come up: a missing signature, a phone that will not sync, a shared folder someone cannot find. We are on hand to sort them quickly.
After that, you choose. We can look after the platform as part of managed IT services, or hand it over with documentation if you manage it yourselves.

Pay for the licences people actually use
A migration is a good time to fix licensing. Business Standard or Premium? Starter or Plus? Copilot add-ons? Many businesses pay for features nobody uses or miss the security they need.
On Microsoft 365 we mix plans to match each person: a warehouse worker checking email on a shared device doesn’t need the same licence as a finance manager in Excel all day. On Google Workspace we make sure you’re on the edition that fits.

Migrations: common questions
How long does a Microsoft 365 or Google Workspace migration take?
For a typical small business, one to two weeks from assessment to completion. Data is copied in the background while you keep working, and the cutover typically happens over a weekend. You get a timeline before we start.
Will we lose emails or files when we migrate?
A properly planned migration shouldn’t lose anything. We pre-stage data, move the final changes at cutover, then check mailboxes, files, calendars and contacts against the old system, which stays available for a while as a safety net.
Will our team have downtime?
Very little. Data is copied in the background while everyone keeps working on the old system, and the switch usually happens over a weekend. On the first morning people sign in to the new platform, and we’re on hand for anything that doesn’t look right.
Can we keep our email addresses and domain name?
Yes. Your domain and email addresses stay the same. At cutover we change the DNS records that control mail delivery, so new email starts arriving in the new platform, and we set up SPF, DKIM and DMARC at the same time.
Should we move to Microsoft 365 or Google Workspace?
It depends on how your team works. Microsoft 365 suits businesses that rely on desktop Excel, Word and Outlook or run mostly Windows. Google Workspace suits browser-first teams that co-edit documents and want simpler admin. We support both every day, so we recommend whichever fits.
What happens to our shared files and folder access?
We map who can open what before anything moves. Company files go into SharePoint and Teams or Google Shared Drives, which belong to the business rather than one person’s account, and over-shared folders are tidied on the way.
Our Microsoft 365 was set up through GoDaddy. Can you move it?
Yes. A GoDaddy-bought tenant limits what you can manage yourself and keeps your licences tied to GoDaddy. We remove that link, move your licences to our Microsoft Partner and Cloud Solution Provider (CSP) agreement, and you end up with full admin control of your own tenant.
How much does a migration cost?
