Microsoft 365 Done Properly for Small Business

Microsoft 365 is the platform most Australian small businesses run on. Outlook, Teams, SharePoint, OneDrive, Word, Excel, and increasingly Copilot. It is powerful, but it is only as good as how it is set up, secured, and managed.

We recommend Microsoft 365 Business Premium for most of our clients. It includes everything your team needs for productivity, plus the advanced security and device management features that make a genuine difference: conditional access, Intune device management, Microsoft Defender for Office 365, and advanced threat policies. Business Basic and Standard do not include these, and for most businesses the security gap is not worth the cost saving.

Whether you are deploying Microsoft 365 from scratch, migrating from another platform, cleaning up a poorly configured tenant, or need someone to properly manage what you already have, we handle it.

Why We Recommend Microsoft 365 Business Premium

Business Basic gives you email and cloud storage. Business Standard adds the desktop Office apps. But Business Premium is where the real value is for small businesses that take security seriously. It includes the tools that actually protect your business, and for a managed services client, it gives us the ability to properly secure and manage your environment.

Conditional access policies. Control where, when, and how your staff can access company data. Block logins from untrusted locations or devices. Require MFA based on risk level. This is one of the most effective security controls available and it is only in Business Premium.
Microsoft Intune device management. Manage and secure every laptop, phone, and tablet that accesses your business data. Enforce security policies, push configuration, deploy apps, and remotely wipe a lost or stolen device. Essential for businesses with mobile or remote staff.
Microsoft Defender for Office 365. Advanced anti-phishing, safe attachments, and safe links that go well beyond the basic Exchange Online Protection in lower plans. Catches the sophisticated phishing emails that standard filtering misses.
Azure Information Protection. Classify, label, and protect sensitive documents and emails. Prevent staff from accidentally or deliberately sharing confidential files outside your organisation.
Advanced threat protection policies. Anti-malware, anti-spam, and threat intelligence policies configured specifically for your organisation, not just Microsoft’s global defaults.
Autopilot device deployment. New devices can be shipped directly to staff and automatically configured with your organisation’s apps, settings, and security policies when they first sign in. No need to touch the device first.

The cost difference between Standard and Premium is a few dollars per user per month. The security difference is significant. For businesses on our managed IT plans, Business Premium gives us the tools to properly protect and manage your environment.

Microsoft 365 Services

New tenant setup. We build your Microsoft 365 environment from scratch: domain configuration, user accounts, security policies, MFA, conditional access, Intune, and email protection. Done right from day one.
Migration. Moving from Google Workspace, on-premises Exchange, hosted email, GoDaddy, or another provider. Email, calendars, contacts, and files migrated with minimal disruption.

SaaS Single Sign-On Through Microsoft 365

Most businesses use a collection of SaaS applications alongside Microsoft 365: accounting software, CRM, project management, HR platforms, and industry-specific tools. Without single sign-on, your staff have separate usernames and passwords for each one. That means more passwords to manage, more credentials that can be compromised, and no central control over who has access to what.

We configure single sign-on (SSO) through Azure Active Directory so your team can access their business applications using their Microsoft 365 login. The benefits are immediate:

One identity for everything. Staff sign in once with their Microsoft 365 credentials and get access to all their approved apps. Fewer passwords, less friction, less time wasted on logins.
Centralised access control. When someone joins, you grant them access to all the apps they need from one place. When someone leaves, you disable one account and they lose access to everything instantly.
MFA applied everywhere. Because authentication flows through Azure AD, your MFA policies apply to SaaS app logins too, not just Microsoft 365. One security boundary for all your applications.
Conditional access on SaaS apps. The same conditional access policies that protect your Microsoft 365 environment also protect your connected apps. Block risky logins, require compliant devices, and restrict access by location.

Microsoft 365 Issues We Fix Every Day

These are the real issues our helpdesk resolves for clients daily. If any of these sound familiar, we can help.

Outlook not syncing or crashing. Emails not arriving, calendar not updating, Outlook freezing on startup, or the desktop app repeatedly asking for credentials. We diagnose whether it is a profile issue, a cached data problem, an add-in conflict, or a platform-side issue and resolve it.

Password resets and account lockouts. Staff locked out of their accounts, password expiry confusion, MFA prompts not working on a new phone, or authenticator app issues. We handle resets, reconfigure MFA, and make sure staff can get back to work quickly.

Shared mailbox problems. Shared mailboxes not appearing in Outlook, sent items going to the wrong folder, permissions not working correctly, or automapping issues. We configure shared mailboxes properly and fix the common problems that come from incorrect setup.

Calendar and booking issues. Shared calendars not syncing between users, room booking conflicts, calendar permissions not working, delegate access problems, or calendar events disappearing. We troubleshoot sync issues and configure calendars correctly.

Teams and SharePoint access problems. Users unable to access a Teams channel, SharePoint permissions not working, files not syncing between OneDrive and SharePoint, or external sharing not functioning as expected. We fix the access and permissions layer.

Email delivery issues. Emails going to junk, emails being blocked or quarantined, messages not being received by external recipients, or bounce-backs from misconfigured DNS. We investigate transport rules, spam filtering, and DNS records to get your email flowing.

New Outlook transition issues. Microsoft is transitioning users to the new Outlook client, which introduces its own set of problems: missing features, changed workflows, add-in incompatibility, and shared mailbox behaviour differences. We help your team navigate the transition or stay on classic Outlook where appropriate.

Mobile email and app configuration. Outlook not working on iPhones or Android devices, push notifications not arriving, calendar not syncing on mobile, or MFA prompts failing on new devices. We configure and troubleshoot mobile access.

Security Problems We Find in Almost Every Tenant

When we onboard a new client or audit an existing Microsoft 365 environment, these are the security gaps we find most often. If any of these apply to your business, your tenant is not properly secured.

No MFA enabled. The single most common security gap. If your users log in with just a password, one phishing email can give an attacker full access to your mailbox, OneDrive, and Teams. We enable and enforce MFA across the entire tenant, including shared mailboxes and admin accounts.

No conditional access. Without conditional access, anyone with the right password and MFA can log in from any device, any location, at any time. Conditional access lets you block logins from untrusted countries, require managed devices, and apply risk-based policies. It requires Business Premium.

No email authentication (SPF/DKIM/DMARC). Without these DNS records, anyone can send email that appears to come from your domain. Attackers use this to send phishing emails to your clients and suppliers that look like they came from you. We configure all three and set DMARC to reject.

Default sharing settings. SharePoint and OneDrive set to “anyone with the link” means your files can be shared externally without controls. We lock this down to appropriate levels with expiry dates and logging.

No Intune device management. Staff accessing company email and files from unmanaged personal devices with no encryption, no PIN lock, and no ability to remotely wipe if the device is lost. Intune fixes this.

No backup. Microsoft does not back up your data. Permanently deleted emails, decommissioned accounts, and ransomware-encrypted files are unrecoverable without independent backup.

Admin accounts used as daily drivers. Staff using global admin accounts for everyday email and work. One compromised admin account gives an attacker full control of your entire tenant. We create separate admin accounts with MFA and restricted access.

Stale accounts and licences. Former employees still with active accounts, unused licences still being billed, and old guest accounts with access to SharePoint sites. We audit and clean this up.

Migrations & GoDaddy Defederation

We migrate businesses to Microsoft 365 from a range of platforms and providers. This includes straightforward migrations and more complex scenarios that require careful planning.

GoDaddy defederation. If your Microsoft 365 tenant was originally purchased through GoDaddy, your domain is likely federated with GoDaddy’s systems. This means GoDaddy controls your DNS, your admin access may be restricted, and you cannot fully manage your own tenant. We handle the defederation process: moving DNS control to you, breaking the GoDaddy federation, and giving you full ownership of your Microsoft 365 environment. This is a common but technically involved migration that many IT providers avoid.

Google Workspace to Microsoft 365. Full migration of Gmail, Drive, Calendar, Contacts, and Shared Drives to Exchange Online, OneDrive, and SharePoint. Security reconfiguration, DNS cutover, and staff onboarding on the new platform.

On-premises Exchange or hosted email. Migrating from legacy servers or third-party hosted Exchange to Microsoft 365 in the cloud. Mailbox migration, public folder migration, and infrastructure decommissioning.

Other providers. Migrations from POP/IMAP email, Telstra hosted email, iiNet, TPG, or any other provider. We assess your current setup, plan the migration path, and move everything across with minimal disruption.

Every migration includes a pre-migration assessment, clear timeline, full data migration, DNS and domain configuration, security hardening on the new tenant, and a hypercare support period after go-live.

Microsoft Copilot for Small Business

Microsoft Copilot is an AI assistant built into Microsoft 365. It drafts emails in Outlook, summarises documents in Word, analyses data in Excel, creates presentations in PowerPoint, and transcribes meetings in Teams. For small businesses, it can save hours of administrative work every week.

But Copilot works by accessing the data in your Microsoft 365 tenant. If your permissions are not properly configured, Copilot can surface data that users should not see. And if your team does not understand how to use it responsibly, confidential information could end up where it should not.

Frequently Asked Questions

Why do you recommend Business Premium over Business Standard?

Business Premium includes conditional access, Intune device management, and Microsoft Defender for Office 365. These are the security and management features that make a real difference for small businesses. Standard gives you the Office apps but none of the advanced security. The cost difference is a few dollars per user per month. For most businesses, the protection Business Premium provides is worth significantly more than the extra cost.

Our Microsoft 365 was set up through GoDaddy. Can you fix that?

Yes. GoDaddy-federated tenants are one of the most common issues we see. We handle the full defederation process: breaking the GoDaddy federation, moving DNS control to you, and giving you full admin ownership of your Microsoft 365 tenant. This is technically involved but we have done it many times.

Can you set up single sign-on for our other business apps?

Yes. We configure SSO through Azure Active Directory for SaaS applications like Xero, HubSpot, Salesforce, and many others. Your staff log in once with their Microsoft 365 credentials and get access to all their approved apps. This also means MFA and conditional access policies apply to those apps, and when someone leaves, disabling one account revokes access everywhere.

Can you migrate us from Google Workspace to Microsoft 365?

Yes. We migrate businesses between Microsoft 365 and Google Workspace in both directions. This includes email, calendars, contacts, and files. As both a Microsoft Partner and a Google Partner, we handle cross-platform migrations regularly and plan them to minimise disruption.

We already have Microsoft 365 but it was never set up properly. Can you fix it?

Yes, and this is one of the most common things we do. We audit your existing tenant, identify security gaps and configuration issues, and bring it up to a proper standard. This typically includes enabling MFA, configuring conditional access, setting up Intune, hardening email security, reviewing licences, configuring backup, and cleaning up stale accounts.

Is our NFP eligible for free Microsoft 365 licences?

If your organisation is registered with the ACNC or has recognised charitable status, you are likely eligible for free Microsoft 365 Business Basic licences (up to 300 users) and heavily discounted Business Premium licences through the Microsoft Nonprofit Programme. We handle the application and setup.

Does Microsoft back up our data?

No. Microsoft provides infrastructure redundancy but does not provide long-term backup of your data. If emails are permanently deleted, an account is decommissioned, or ransomware encrypts your files beyond the retention window, Microsoft will not recover it. We provide independent backup of Exchange, OneDrive, SharePoint, and Teams data.
