Being in the cloud is not the same as being backed up
Microsoft and Google keep their platforms running. Under their shared responsibility models, protecting your data from deletion and ransomware is up to you.
Deleted items sit in a recycle bin for a limited time, then disappear. If ransomware encrypts files that sync to OneDrive or Google Drive, the encrypted versions sync too.

Backup across your whole environment

Microsoft 365 backup
Exchange Online mailboxes, OneDrive, SharePoint and Teams data, backed up independently of Microsoft. Data from removed users stays available as long as you need it.

Google Workspace backup
Gmail, Google Drive, Shared Drives, Calendar and Contacts, backed up outside Google, with the same protection against deletion, departing staff and ransomware.
Laptop and workstation backup
Files staff save locally instead of to the cloud. If a device is lost, stolen or fails, we restore the data to a replacement.
Server backup
For businesses still running on-premises servers, common in healthcare and accounting, we back up the whole server: operating system, applications, databases and files.
Copies kept apart, so one incident can't take them all
The 3-2-1 approach is a long-standing backup rule: three copies of your data, on two types of storage, with one copy somewhere else entirely. No single failure, mistake or attack should reach every copy.
Your live data sits in Microsoft 365, Google Workspace, laptops or a server. The backup is stored separately from that production environment, so ransomware that hits your systems can’t simply encrypt the backup as well.

What happens when you need something back
A single email or file is usually quick, a whole mailbox takes longer and a server rebuild longest. We agree realistic targets with you and test them, rather than quote numbers we haven’t proved.

Backup and recovery: common questions
Does Microsoft 365 back up my data?
Not in the way most people assume. Microsoft keeps the service running and holds deleted items for a limited time, but it doesn’t keep long-term, independent backups. If something is permanently deleted, or encrypted and not noticed in time, it may be gone. Google Workspace works the same way.
What happens to a staff member's data when their account is deleted?
In Microsoft 365 and Google Workspace, a deleted user’s mailbox and files are removed permanently after a short grace period. If you later need their emails for a handover or dispute, they’re gone without a backup. We keep backup data from removed accounts as long as you need it.
How often do you back up?
Automated backups run daily for cloud platforms, devices and servers. Where losing a day of work is too much, we back up more often, based on how much recent work you could afford to redo.
Can you restore a single email or file?
Yes. We can restore one email, a document, a folder, a SharePoint site or a whole mailbox without touching anything else, so you never roll back an entire account just to get one file back.
What is the 3-2-1 backup rule?
Three copies of your data, on two types of storage, with one copy kept somewhere separate, so one failure or attack can’t destroy every copy. For cloud-based businesses, the key is an independent backup outside Microsoft 365 or Google Workspace.
Can backups protect us from ransomware?
They’re your way back. With an independent backup kept apart from your systems, we can contain the attack and restore clean copies from before the encryption. Prevention still matters too: see our cyber security services.
How much does backup cost?
It depends on your number of users, what needs backing up and how long data must be kept. For clients on our managed IT services, backup is typically built in. Standalone backup gets a fixed monthly price after we assess your setup, with no lock-in.
