The NFP squeeze

Commercial obligations on a charity budget

Every dollar spent on IT is a dollar not spent on your mission. Yet your records are often more sensitive than a business’s, and a breach costs as much to clean up.

Many NFPs run IT on goodwill: a volunteer set up the network years ago, one person holds the admin password, and nobody had time to apply for the licence grants.

Common in the sector
  • Volunteers sharing one login on the office computer
  • Former volunteers still able to open email
  • Full price paid for licences you could get free
  • No clear answer when funders ask about cyber security

We handle the applications and the setup

Many NFPs know the offers exist. Fewer finish the process or set the licences up properly.

01

Check eligibility

It usually starts with ACNC registration or recognised charitable status.

02

Apply and verify

We apply through the Microsoft Nonprofit program and Google for Nonprofits and handle verification.

03

Match people to licences

Free and discounted licences have different rules for staff and volunteers. We assign them correctly, so you stay within the terms.

04

Set up and migrate

Platform configured, security settings applied, and existing data migrated.

05

Review the rest

Other subscriptions checked for nonprofit pricing, and anything nobody uses cancelled.

Paying full price for Microsoft 365 or Google Workspace?

If you’re a registered charity, you may be paying for licences you could get free or heavily discounted. We’ll check for free.

Volunteers and shared devices

Access that comes and goes with your volunteers

Volunteers come for a season, an event or one morning a week. Every account that can open email or client files is a way in if it isn’t managed, and a risk if it isn’t closed.

Logins

One person, one account

No shared front desk password. Everyone signs in as themselves, with multi-factor authentication.

Shared computers

Locked down properly

Shared computers set up so each role reaches only what it needs.

Own devices

Your data kept separate

On personal devices, your data stays in managed apps and can be removed remotely.

Leaving

Closed on the day

An offboarding checklist, and accounts switched off the day someone finishes.

Donor and client data

Privacy obligations don't shrink with your budget

NFPs hold some of the most sensitive records around: case notes, health and disability details, family circumstances and donor payment details. The people in them are often vulnerable.

The Privacy Act 1988 and the Notifiable Data Breaches scheme cover many NFPs, including every health service provider regardless of size. Funding agreements often add their own privacy clauses.

Where we usually start
  • Who can open client and donor records
  • Old exports and spreadsheets sitting in email
  • Backups that have actually been restored
  • Who to tell, and how, if data is exposed
What we look after

Licences

Discounts claimed for you

We apply for the Microsoft and Google not-for-profit programs on your behalf and keep your licence count matched to your team.

02

Finally an IT company who doesn’t have long contracts or charge a small fortune. Wish we found them sooner!

FAQ

NFP IT: common questions

Eligible nonprofits can get Microsoft 365 Business Basic free for up to 300 users, and Business Premium and other plans heavily discounted. Microsoft sets eligibility, and in Australia it usually starts with ACNC registration or recognised charitable status. We check, apply and set up the licences.

Yes, for eligible organisations. Google Workspace for Nonprofits includes Gmail on your domain, Drive, Docs, Sheets, Meet and admin controls at no cost. We help you apply, get verified, set up security and move your email and files across.

It comes down to how your team works. Microsoft 365 suits organisations that need desktop Office apps and stronger device management, which come with discounted Business Premium. Google Workspace is simpler and free for eligible organisations. We support both every day and recommend what fits.

Often, but the rules differ. Free grants and discounted licences have different conditions about who they can be assigned to, and volunteers don’t always qualify for the free ones. We assign each person the right licence so you stay within the terms and don’t overspend.

It applies to NFPs with annual turnover over $3 million, to any organisation providing a health service regardless of size, and to some other specific cases. Covered organisations must follow the Notifiable Data Breaches scheme. Get advice on your position; we put protections in place either way.

Often more than people expect. Free and discounted licences cut software costs, and a fixed monthly price replaces surprise repair bills. We’re upfront about what can wait, work month to month with no lock-in, and quote any project first.
