Google Workspace Done Properly for Small Business

Google Workspace is a powerful cloud platform for businesses that want simplicity, collaboration, and reliability. Gmail, Google Drive, Docs, Sheets, Meet, Calendar, and Chat. It works in the browser, it works on mobile, and for many small businesses it is the better fit over Microsoft 365.

When Google Workspace Is the Right Choice

Google Workspace is not right for every business, but for many it is the better option. Here is when we recommend it:

Your team lives in the browser. If your staff work primarily in web-based tools and do not rely on desktop Office apps (Word, Excel, Outlook), Google Workspace is simpler and faster.
Real-time collaboration is critical. Google Docs, Sheets, and Slides handle multi-user collaboration natively. Multiple people editing the same document at the same time, no file conflicts, no “locked for editing” messages.
You want simplicity. Google Workspace has a smaller learning curve than Microsoft 365. For businesses without technical staff, the admin console is more intuitive and day-to-day usage requires less training.
You are a not-for-profit. Google provides free Workspace licences to eligible NFPs. For organisations on tight budgets, this is a significant advantage over paid Microsoft plans.
Your team uses Android or Chromebooks. Google Workspace integrates seamlessly with Android devices and Chromebooks. If your team is not on Windows, Google is often the more natural fit.
You need straightforward file sharing. Google Drive and Shared Drives are simple to set up and use. For businesses that need to share files internally and with clients without the complexity of SharePoint, Google is often easier.

Google Workspace Issues We Fix Every Day

Google Gemini is an AI assistant integrated into Google Workspace. It can draft emails in Gmail, summarise documents, generate content in Docs, create formulas in Sheets, and produce presentations in Slides. For small businesses, it offers genuine productivity gains for everyday tasks.

As with any AI tool, the risk is in how it is used. If staff enter confidential client data into Gemini without understanding the data handling, or if your Workspace is not properly configured, sensitive information could be processed in ways you did not intend.

Free Google Workspace for Not-for-Profits

Google provides free Workspace licences to eligible Australian not-for-profit organisations through the Google for Nonprofits programme. This includes Gmail with your organisation’s domain, Google Drive, Docs, Sheets, Meet, Calendar, and admin controls at no cost.

For NFPs on tight budgets, this is often the most cost-effective way to get a professional, secure email and collaboration platform. We handle the entire process:

Eligibility check. We confirm whether your organisation qualifies based on ACNC registration, charitable status, or other recognised criteria.
Application. We guide you through the Google for Nonprofits application and verification process.
Setup and migration. Once approved, we set up your domain, create user accounts, configure security, and migrate your existing email and files if needed.
Ongoing management. We manage the environment just like any other client, with security, backup, and support included.

Migrating to Google Workspace

Should we use Google Workspace or Microsoft 365?

It depends on how your team works. Google Workspace is simpler and stronger for real-time collaboration, browser-based work, and businesses that do not need desktop Office apps. Microsoft 365 is stronger for businesses that rely on Outlook, Excel, and Teams, or need the advanced security features in Business Premium. As both a Microsoft Partner and a Google Partner, we recommend the platform that fits your business.

Can you migrate us from Microsoft 365 to Google Workspace?

Yes. We migrate businesses between the two platforms in both directions. This includes email history, calendars, contacts, and files. We plan migrations to minimise disruption and handle the DNS cutover, security reconfiguration, and staff onboarding on the new platform.

We already have Google Workspace but it was never set up properly. Can you fix it?

Yes. We audit your existing Workspace environment, identify security gaps and configuration issues, and bring it up to a proper standard. This typically includes enabling MFA, configuring email authentication, locking down external sharing, reviewing third-party app access, setting up endpoint management, configuring backup, and cleaning up old accounts.

Is our NFP eligible for free Google Workspace?

If your organisation is registered with the ACNC or has recognised charitable status, you are likely eligible for free Google Workspace licences through Google for Nonprofits. We handle the application and verification process, then set up and manage the environment for you.

Does Google back up our data?

No. Google provides infrastructure redundancy, but if data is permanently deleted by a user, an account is decommissioned, or files are compromised by ransomware, Google will not recover it for you beyond a limited retention window. We provide independent third-party backup of Gmail, Drive, Shared Drives, Calendar, and Contacts.

What is the difference between My Drive and Shared Drives?

My Drive is personal storage tied to an individual user’s account. If that user leaves and their account is deleted, everything in their My Drive goes with it. Shared Drives are owned by the organisation, not the individual. Files in a Shared Drive persist regardless of who created them or whether they are still with the company. We configure Shared Drives for teams so your business data stays with the business.

Can you set up Google Workspace on our existing domain?

Yes. We configure Google Workspace on your existing business domain so your email addresses stay the same (yourname@yourbusiness.com.au). This includes DNS verification, MX record configuration, and email authentication setup. If you are moving from another email provider, your staff keep their existing email addresses.
