How We Handle Migrations

Migrations are where most businesses get burned. A poorly executed migration can mean lost emails, broken calendar entries, missing files, and weeks of staff frustration. We have completed migrations from every common platform and follow a proven process.

Our migration process:

Assessment

We audit your current environment: mailboxes, file volumes, shared resources, permissions, DNS records, and any legacy systems. This identifies what needs to move, what can be archived, and what risks exist.

Planning

We build a migration plan covering user mapping, data scope, cutover timing, DNS changes, and a rollback plan. You approve the plan before any data moves.

Pre-staging

We migrate the bulk of your data in the background while your team continues working on the old system. This means the final cutover is fast because most data is already across.

Cutover & Validation

We switch DNS records, reconfigure Outlook or Gmail on devices, and validate that all email, files, calendars, and contacts are intact. Typically done outside business hours or over a weekend.

Post-migration Support

We provide dedicated support for the first 1-2 weeks after cutover. Staff can call us directly with any issues. We monitor the new environment for delivery problems, sync issues, or anything that slipped through.

Security Hardening for Microsoft 365 & Google Workspace

Both Microsoft 365 and Google Workspace come with powerful security tools built in. The problem is that most businesses never configure them. Default settings leave your tenant exposed to phishing, data leakage, and account compromise.

We configure the security features that matter most for Australian SMBs:

MFA enforcement on all accounts (the single most impactful security control)
Email authentication (SPF, DKIM, DMARC) to prevent email spoofing and impersonation
Conditional access policies to control where and how users can log in
External sharing controls so files and folders are not accidentally shared outside your organisation
Admin role separation so not everyone has global admin access
Data loss prevention (DLP) rules to prevent sensitive data leaving via email or shared links

Important: Microsoft 365 and Google Workspace do not back up your data by default. If an employee deletes files, if ransomware encrypts your cloud storage, or if a mailbox is wiped, the data may be unrecoverable without a third-party backup. We set up and monitor cloud backup as part of our platform management.

Microsoft and Google licence structures are confusing by design. Business Basic, Business Standard, Business Premium, E3, E5, Frontline, add-on packs for Copilot, Defender, Vault. Most businesses are either overpaying for features they do not use or underpaying and missing critical security tools.

We review your licensing and recommend the right tier for each user. Not everyone needs the same licence. A warehouse worker checking email on a shared device does not need the same plan as your finance manager working across Excel, Teams, and SharePoint all day.

Should we use Microsoft 365 or Google Workspace?

It depends on your team. Microsoft 365 is stronger for businesses that rely on desktop Office apps (particularly Excel and Word), need advanced email features, or work in a Windows-heavy environment. Google Workspace is better for teams that prefer browser-based tools, want simplicity, and value real-time collaboration. We assess your needs and recommend the right platform. Some businesses use both.

How long does a migration take?

For a typical small business (5-30 users), the full migration takes 1-2 weeks from assessment to completion. The actual cutover (the point where email switches to the new platform) usually happens over a few hours, often outside business hours. Larger or more complex migrations take longer, and we provide a clear timeline before starting.

Will we lose any emails or files during migration?

No. We use enterprise-grade migration tools that move email, contacts, calendars, and files without data loss. We pre-stage the data before cutover and validate everything after. We also keep the old system accessible for a transition period as a safety net.

Our M365 / Google Workspace is already set up. Can you just review the security?

Yes. We offer standalone security reviews where we audit your tenant configuration, identify gaps, and either fix them for you or provide a report with recommendations. Common findings include MFA not enforced, email authentication not configured, overly permissive sharing settings, and no cloud backup in place.

Do you help with Microsoft Copilot and Google Gemini?

Yes. Both AI tools require careful configuration before you roll them out. Copilot in particular can surface sensitive documents to users who should not have access if your SharePoint permissions are not structured correctly. We handle the licensing, configuration, data access controls, acceptable use policies, and staff training for both platforms.

Does Microsoft 365 or Google Workspace back up our data?

Not in the way most businesses expect. Both platforms have retention policies and recycle bins, but these are not the same as a proper backup. If data is deleted beyond the retention window, or if ransomware encrypts your cloud files, the data may be permanently lost. We set up and monitor third-party cloud backup for both platforms as part of our management service.

Can you manage our licences and user accounts?

Yes. We handle all user onboarding (new starter setup, licence assignment, email signature, security group membership) and offboarding (account deactivation, licence recovery, mailbox archiving, data retention). We also review your licensing quarterly to make sure you are not overpaying.
